BOOKING & PAYMENT

WHAT IS THE MINIMUM BOOKING?

Podcast studio bookings have a two-hour minimum.

WHEN DOES MY BOOKED TIME BEGIN?

Your booking includes arrival, briefing, setup, technical checks, recording, pack-down and any file transfer. Studio access begins at the booked start time.

WHAT IF WE ARRIVE LATE?

The booking still begins and ends at the confirmed times. Late arrival does not extend the session or reduce the charge, and we will never allow one client to use time allocated to the next.

CAN WE RUN OVERTIME?

Only by prior agreement and subject to availability. Approved overruns are charged in full one-hour increments at the applicable studio and crew rates.

WHAT IS THE CANCELLATION POLICY?

Bookings may be moved or cancelled without charge more than seven days beforehand. Inside seven days, fees are non-refundable, although we may permit one reschedule at our discretion.

WHEN IS PAYMENT DUE?

New clients pay upfront. Payment terms may be agreed for companies subject to status and written approval.

ARE PRICES SUBJECT TO VAT?

Yes. Published prices are from prices and exclude VAT. Your written quote confirms the studio, crew, equipment, post-production and delivery included.

DO EVENING AND WEEKEND RATES DIFFER?

Standard hours are 08:30–18:00. Bookings after 18:00 and at weekends carry an additional 50% charge.

ARRIVAL, GUESTS & HOSPITALITY

HOW EARLY MAY GUESTS ARRIVE?

Guests may arrive up to 15 minutes beforehand and use reception or breakout areas. Earlier arrival must be agreed in advance; studio access begins at the booked time.

DO YOU NEED EVERY ATTENDEE'S NAME?

Yes. Hosts, guests, producers, crew, makeup artists and visitors must be declared by name in advance for our security team.

CAN WE BRING EXTRA PEOPLE?

Each studio has a stated capacity. Additional attendees are permitted only where we can accommodate them and will incur an extra charge.

WHAT HOSPITALITY IS INCLUDED?

Complimentary tea, coffee, chilled water and light refreshments are included in designated hospitality and breakout areas.

CAN YOU ARRANGE FOOD?

Yes. Catering can be arranged in advance at the external cost plus a 20% handling charge.

CAN WE BRING FOOD OR DRINK?

Food and non-alcoholic drinks are permitted only in designated hospitality and breakout areas. No food or drink is allowed in studios or control rooms, and alcohol is not permitted anywhere.

ARE CHILDREN OR ANIMALS PERMITTED?

Children and pets may remain accompanied in designated breakout areas but cannot enter studios or control rooms. Assistance dogs are permitted throughout.

IS THE FACILITY ACCESSIBLE?

Yes. Tell us about mobility, sensory or other access requirements before booking so we can select the right studio, plan the route and support every guest properly.

IS PARKING AVAILABLE?

Parking may be booked in advance for £50 per vehicle, per visit, for up to one day. Availability is not guaranteed without confirmation.

CAN WE DROP OFF OR STORE EQUIPMENT?

Production drop-offs must be agreed in advance. Staff time outside the booked session is chargeable, and equipment cannot be stored onsite before or after a booking.

STUDIOS & PRODUCTION

IS AN ENGINEER INCLUDED?

Yes. Every booking includes an experienced engineer.

ARE THE ROOMS SOUNDPROOF?

Yes. These are purpose-built professional recording rooms with separate control rooms, not converted offices.

CAN YOU FILM THE PODCAST?

Yes. Multi-camera 4K filming, professional lighting and a separate control room are available.

CAN REMOTE GUESTS JOIN?

Yes, through Riverside, Zoom or another agreed platform. The connection must be requested in advance, and setup and testing form part of your chargeable booked time.

DO YOU OFFER LIVE STREAMING?

Yes, by prior arrangement. All setup, testing and streaming time is chargeable. Additional crew, graphics or equipment are quoted separately.

CAN THE SET BE CUSTOMISED OR BRANDED?

Yes. Furniture, lighting, screens, props and branded elements can be adapted by agreement. Design, sourcing, installation and reset time are chargeable, and nothing may be attached to studio surfaces without approval.

CAN WE BRING OUR OWN EQUIPMENT?

Not unless approved in advance. Removing our house setup, integrating client equipment and restoring the studio incur a surcharge. Approved equipment must be safe, insured and compatible.

WHO IS RESPONSIBLE FOR DAMAGE?

The booking client is responsible for damage caused by its team, guests, contractors, props or equipment. Repair, replacement, specialist cleaning and lost production time are chargeable. Proof of insurance may be required.

WHAT HAPPENS IF THERE IS A TECHNICAL FAILURE?

Sessions are professionally monitored with appropriate backup measures. If a failure caused by us makes a recording unusable, our liability is limited to re-recording the affected session or refunding the studio charge; it does not extend to talent, travel, lost opportunity or consequential costs.

FILES, EDITING & DELIVERY

WHEN ARE RAW FILES DELIVERED?

Raw files are supplied within 24 hours. A chargeable audio QC service with a full listen-through, technical review, level checks and quality-controlled delivery is available within 48 hours.

CAN WE TAKE RAW FILES AWAY IMMEDIATELY?

Yes. Bring a blank, high-speed USB-C SSD with at least 1TB available per recording day, formatted as exFAT unless our technical team confirms otherwise. Transfer time forms part of the booking, and take-away files have not received a sound QC pass.

HOW LONG DO YOU RETAIN FILES?

Files are stored securely for 14 days following delivery. After 14 days, they are permanently deleted and cannot be recovered. Clients are responsible for downloading and backing up all delivered material within this period.

CAN YOU EDIT AND DELIVER THE PODCAST?

Yes. Editorial, sound mix, grade, captions, masters, social cutdowns and platform deliverables can all stay under one roof.

HOW MANY EDIT REVISION ROUNDS ARE INCLUDED?

Paid post-production includes two rounds of reasonable, consolidated notes from one nominated client contact. Further revisions or changes after approval are chargeable.

WHEN MUST WE SEND EDIT FEEDBACK?

Feedback is due within five working days of each review link. Delays may move the delivery date. Projects inactive for 30 days may be archived, with retrieval and rescheduling chargeable.

CAN YOU PUBLISH AND DISTRIBUTE EPISODES?

Yes, when included in your package. You retain ownership of your channels and accounts while granting us the access required to upload, schedule and manage releases. Platform fees, subscriptions and paid promotion are separate.

RIGHTS, PRIVACY & CREATIVE SUPPORT

WHO OWNS THE RECORDING?

Once all invoices are paid, the client owns the commissioned recording and agreed deliverables. London Podcasts retains its production methods, templates and technical assets.

MAY YOU SHOWCASE OUR RECORDING?

We may showcase short excerpts unless confidentiality or non-publication is agreed in writing. Broadcast or embargoed material will never be published before its official release.

CAN WE REQUEST AN NDA OR CLOSED SET?

Yes. NDAs, restricted access, private arrivals, closed sets and staff non-disclosure can be arranged in advance. Unusual security, exclusive-area or staffing requirements may be chargeable.

WHO CLEARS MUSIC AND THIRD-PARTY MATERIAL?

Clients must own or obtain permission for music, clips, photographs and other material they supply. We can source properly licensed assets as a separate service and may refuse material that appears unlicensed.

WHO IS RESPONSIBLE FOR EDITORIAL AND LEGAL ACCURACY?

The client is responsible for factual accuracy, contributor permissions, releases, defamation, privacy, advertising compliance and specialist legal or regulatory review. We may flag concerns but do not provide legal clearance unless separately agreed.

CAN YOU HELP CREATE THE FORMAT?

Yes. Choose full-service production or discuss a selective equity co-production. Equity partnerships are considered only where there is meaningful audience data, a strong concept and credible sponsorship potential.
